Tutorial: your first order, start to finish
Take one practice order from an open check to a paid, closed check on a fixed POS station, the way you will during service. Use Training mode for practice: training checks never reach real reports and never open the cash drawer.
Before you begin
Section titled “Before you begin”- The station is unlocked and online. If the top banner says You’re offline — can’t start or change checks, wait for the connection before you start.
- For practice, turn on Training mode: select More, then Training mode. If the station asks for Manager override, a manager selects their name in Choose a staff member and enters their PIN. The station signs you out and shows Training unlock. Enter your PIN. The top bar shows TRAINING — not real sales.
- Unlock the station: select Tap to unlock. On Unlock, enter your PIN.
- Start a check: on Open checks, select New check. Choose the order type (Counter, Tables, Takeout, Bar tab or Drive-thru). Fill in the prompted details (for example Table # and Guests). Select Open check.
- Add items: select each menu item. When an item has required choices, pick them and select Add to check. Review quantities and options on the check.
- Send to the kitchen: select Send one time. Wait for Sent to kitchen. See Send an order.
- Take payment: select Pay. In Tender, enter the cash received and select Cash, or select Card and follow the card reader. Wait for the result on screen, for example Cash approved with the change to give back. See Take payment and close.
- Finish: when the balance is fully paid, the station shows Check paid and returns to Open checks.
Expected result
Section titled “Expected result”The check appears once, its items reached the kitchen once, the payment shows as approved, and the check is closed with nothing left to pay.
Access you need
Section titled “Access you need”Your organization sets the permissions of each role. The station refuses a step that your role
does not allow. When you start a check, it shows Missing capability: order.ring. When you take
payment, it shows Missing tender.create. For Training mode and No sale, it asks for
Manager override.
| Step | Permission in Roles and permissions | Key |
|---|---|---|
| Start a check | Order › ring up | order.ring |
| Take payment | Payment › create | tender.create |
| Turn Training mode on or off | Operations › training | ops.training |
| Open the drawer with No sale | Cash drawer › open | drawer.open |
To get access:
- Stop at the step that was refused. Do not start a second check.
- Tell your manager the step and the message on the screen.
- In this tutorial, the station shows Manager override only for Training mode and
No sale. A manager selects their name in Choose a staff member and enters their PIN. This
approves one action, and you stay signed in. If the manager’s role does not have the
permission for Training mode, the Open checks screen shows
Training approval required. For No sale, the dialog opens again withManager lacks override capability. Then find a manager whose role has that permission. - For permanent access, ask an owner or manager whose role has Staff › manage (
staff.manage). In Back office they open Staff, then Roles and permissions. They select Permissions on your role and add the permission. They can grant only permissions that they hold. - Select More, then Switch user. If Time clock shows, select Stay clocked in. Unlock again with your PIN. Continue from the step that was refused.
New roles start with no permissions. By default, only owner, admin and manager roles have Cash drawer › open. See Roles and permissions.
If something goes wrong
Section titled “If something goes wrong”- Payment status unknown: the card payment may have gone through. Do not charge the card again. Select Reconcile now to get the latest result. Do this until the screen shows a final result. Take a new payment only if the result is a failure, for example Card declined. If the status stays unknown, keep the check open and call your manager. See Payment outcome uncertain.
- No card payment recorded yet. Retry with Card.: select Card again for the same payment. Do not use another payment type for it. If Payment status unknown shows again, select Reconcile now.
- Card declined or Card failed: the server gave a final result and the card was not charged. If a message shows under the result, read it. Take the payment again or use another tender.
- The station did not get the result of a cash payment: it loads the current check. If it finds the payment there, it shows Cash approved. If not, it shows Cash result unknown. Look at Balance due. If it did not change, select Cash again with the same amount. If it changed, the payment is recorded: do not take it again.
- After any payment error, and when you select Close in Tender, the station loads the current check. If the payment closed the check, the station shows Check paid and returns to Open checks. If the check was removed, it shows This check no longer exists.
- After a payment error, the station can show Check updated elsewhere. Select Reload check and look at Balance due before you do anything else.
- The cash drawer did not open: the station says Cash drawer did not open. Payment is recorded. Check the receipt printer, then open the drawer by hand. Do the steps in the message. You can also select More, then No sale, and choose a reason. If the station says Cash drawer result is unknown. Payment is recorded. Check the drawer before opening it again., look at the drawer first.
- Offline during a cash payment: the station queues a cash payment for the full balance and sends it when the connection comes back. It shows Offline: the cash drawer does not open automatically. Open it by hand. For a part payment, wait for the connection.
- Card payments unavailable: if the banner says Card payments unavailable — cash or retry, take cash or wait until the station removes the banner. Do not charge the card on a second device.
- Locked due to inactivity: the station locks after a period with no activity. Items that you added stay on the check. Unlock with your PIN, then open the same check from Open checks. Do not start a new check. If the lock came during a card payment, do not charge the card again. Call your manager.
- Check updated elsewhere: another device changed the check. Select Reload check. Then do again only the step that did not finish. Before you pay, look at Balance due: the other device may already have taken payment. Do not start a second check for the same guest. See Prevent duplicate orders.
